This article was designed to share updates to related services tracking in POC with specialists at Pearson Virtual Schools. Changes include new log areas/categories and new fields in the Vendor Management DV.
What new log options are available?
Improvements have been made to the Student Log in the Pearson Online Classroom to track third-party related services more efficiently by service type and duration. Therapists are now able to log services by selecting the new "Related Services" area/category and identify the service type that is provided from one of the options below:
- Occupational Therapy
- Physical Therapy
- Counseling
- Social Work
- Vision Services
- Hearing Services
- Orientation & Mobility
- Nursing Services
- Applied Behavior Analysis/Autism Services
- Other S/L Service
- Other Related Service
Each service type includes a session duration in increments of 15, 30, 45, or 60 minutes. Therapists may choose more than one option if their session length was longer than the options listed (ex: selecting "30 minutes" and "60 minutes" to reflect a 90 minute session. ABA options include slightly longer intervals due to the nature of those types of sessions.
An email campaign has launched to notify third-party providers of these changes. Vendor main contacts were notified of changes and provided with training resources via email earlier in November. At the end of November, targeted emails were sent to all current therapists with specific links to KBAs included based on service type.
How are service start dates and minutes provided last 30 days tracked?
Special Education Vendor Management DV has been updated to include two new fields for each of the Related Services log options. This includes a "Successful Start Date 24-25" field and "Services Offered Last 30 Days" field.
- Successful Start Date 24-25 auto-populates the first date that a therapist created a log entry for that service type and indicated that the student attended the session virtually or in-person.
- Services Offered Last 30 Days auto-populates the number of minutes offered according to the log for that service category. This field updates daily and includes minutes offered for scheduled sessions whether student attended or did not attend.
Since the new Related Services log options were introduced after the first day of school, it is expected that the date auto-populated in the successful start date field may be later than the actual start date of services for students who were enrolled on the first day of school.
